Joomla - How to Import User Information into your Contacts in Outlook E-mail

Notes: I am doing this with Host Monster web hosting. If you are not happy with your hosting solution or are looking for one, I really recommend them.

Tools I will be using:

-         Outlook 2003

-         phpMyAdmin  (included in Host Monster’s c panel)

 

Before we begin we need to login to the admin console in Joomla to find the database name. 

- Go to global configuration > Server

- Write down your database name (In this example my database name is thebrok2_jo153)

Note: If you have C Panel with your hosting solution there should be a tool called phpMyAdmin. If you don’t have this it can be installed if your provider allows. We will be using this tool to export the users table to a csv file. If you have another tool that can do this go for it.

 

- Launch phpMyAdmin

 

Click on phpMyAdmin

 

- Find your database name on the left side and select it. (This was the name you found in the global configuration.)

- Find the users table and click on browse

Check to make sure all rows are being displayed

- Select all records by clicking on check all

- Click on the export option

- Select the radio button for CSV for MS Excel

- Check “Put field's names in the first row”

Note: This step is very import because you will use this to map the fields.

- Check  “save it as a file”

- Select go

- Save the file some where it will be easy to find

We are half way there. We now just need to launch Outlook and import the users table.

- Click on File > Import and Export…

 - Select "Import from another Program" and click next

- Select "comma separated values (windows)" and select next

- Browse to where the csv file you exported

You will need to decide how you want to duplicate records to be handled

(If you are unsure what to select I would recommend selecting “Do not import duplicate items”

 

 

- Select Contacts and click on next

We are now going to map what fields will be placed where.  So for example you will want the name field from you csv file to go into the name field in the outlook contacts.

- click on "Map Custom fields"

We will now match up the fields. For example you will need to connect the email address field from your csv file  to the email field in outlook.  

- Drag the field from the left to the field you would like to have populated in outlook

Once you have done this you should see the field name next to the one in outlook. 

Confirm it has been mapped

- After you have mapped all the fields you wished to bring in  click OK

- Click Finish

Finish

It should take a few minutes to import. The more records the more time it will take. In this example I only had two records so it only took a few seconds. 

 

Importing

The records should now be in outlook. We will want to go into contacts and confirm that the records have come in.
